About the job

Role Purpose:

The Vendor and Product Database Officer role offers support to Procurement department by recording key data to ensure that our Vendor & Product Documentation and Data Entry are accurate, complete and up-to-date. The role also includes Supplier Relation management.

Key Responsibilities:

Maintaining Product Master Database (PMD) including Item Standard Description, Item classification, Item codification, Item specifications & characteristics and ensuring it is accurate and as per the set guidelines.

Maintaining Vendor Database (VDM) including vendors key data and codification as per the set guidelines.

Following up of ordering process by ensuring the implementation of the PR/PO process including purchase order issuance, acknowledgment and purchase order transfer to execution (interface with Logistics).

Recording & archiving vendors' Contracts/LOA/LOI, PRs, POs and all possible Vendors' legal documents etc.

Maintaining Suppliers classification and rating defined by Procurement Management (Strategic, Preferred, allowed, Prohibited...etc.)

Data Entry for Standard product catalogue, Supplier catalogue either on Procurement files or on ERP.

Preparing product & vendor data reports to be submitted on a periodic basis to the procurement management.

Engaging in other procurement and sourcing administrative activities.

Qualification:

University Graduate

2 to 3 years experience in Procurement

Good knowledge of using ERP & Database Applications
