Administrative Assistant/CSR Officer (Kuwaiti)
We are hiring an Administrative Assistant/Corporate Social Responsibility Officer for our Kuwait Branch.
Summary:
Performs all executive, administrative, and general office duties related to the branch from. Supports in Facility Management matters, Marketing initiatives and act as the Corporate Social Responsibility Coordinator of the branch by creating links between AIC and the community and raising positive awareness of the commitment to sustain and maintain social responsibility.
Responsibilities:
Maintain established policies, procedures and objectives
Responsible for ensuring smooth administrative flow of branch activity
Perform various executive and administrative support duties/projects as assigned by CM
Perform general clerical duties to include but not limited to: typing, photocopying, faxing, mailing, and filing (hard copy and electronic filing)
Maintain confidential files of incoming/outgoing correspondence, memos and any other documentation
Receive, handle and screen telephone calls, mail and visitors
Process mail, set up meetings, arrange travel and accommodation for CM
Prepare the Requests for Quotations (RFQs) and Local Purchace Orders (LPOs) for the branch's procurements in order to be signed by the Director – Hotel expense/Ticketing/Printing/Material request etc…
Coordinate between the departments and storage company to facilitate the retrieval and/or storing of files
Monitor the inventory of stationery, print outs and office supplies
Handle procurement (Purchasing, handling, dispatching, maintaining logs, disposal) for the branch and for other branches if requested
Provide different quotations from different suppliers whenever requested for new projects (Printing/Renovation/Pantry Supplies/Office Supplies/Assets)
Maintain the logs and monitors of stamps for the branch
Keep log of the maintenance contract with all suppliers / Rent Contract and follow up on their renewal
Develop policies related to AIC’s ethical, sustainable, and environmental responsibilities
Ensure the positive impact on the environment and the local communities
Raise public awareness of the social responsibility commitments through marketing initiatives
Conduct research into best practice
Write and action the social responsibility strategy
Create partnerships with clients, employees, suppliers, charities, and other groups
Organize events for employees and their teams
Encourage links between educational and charitable groups
Requirements:
Fresh Grad or up to 2 years’ experience
Microsoft Office Skills
Bachelor degree in Business Administration or equivalent
Strong interpersonal and communication skills
Kuwaiti Nationality
Ability to perform clerical and secretarial duties with deliberate speed and accuracy
Ability to meet deadlines and schedules
Ability to maintain confidentiality in all aspects
